What GeM registration is (and what it isn't)

GeM registration creates your verified seller identity on the Government e-Marketplace — the portal where ministries, PSUs and departments are required to buy most goods and services. Registration is the key to the building, not the business itself: after it come listings, possibly Vendor Assessment if you're an OEM, and bidding.

Two things it isn't: it isn't paid (the government charges nothing — anyone quoting a "government registration fee" is inventing it), and it isn't buyer registration (that's for government officials).

Before you start: the document set

Fifteen minutes of preparation here saves weeks later. You need:

Step-by-step: registering on the portal

  1. Step 1 — Open seller signup. At mkp.gem.gov.in, choose Seller signup (buyer signup is for government officials).
  2. Step 2 — Select your business constitution. Proprietorship / Partnership / LLP / Private Limited / Trust-Society. This selection is effectively permanent — changing it later means support tickets and pain, so get it right. If you operate multiple entities, register the one that owns the products/GST for what you'll sell.
  3. Step 3 — Verify the authorised person. Enter the Aadhaar number of the person authorised to act for the business; the OTP goes to the Aadhaar-linked mobile. This single screen causes more stalled registrations than everything else combined — if the mobile isn't linked or the person entered isn't actually authorised (for companies: a director or authorised signatory), stop and fix that first.
  4. Step 4 — Validate business PAN. The legal name on PAN records must match what you've entered. Mismatches here throw the "PAN verification failed" error — usually caused by spelling differences between Aadhaar and PAN records, or using the trade name instead of the legal name.
  5. Step 5 — Create credentials and e-verify. Set your user ID and password, then e-sign the terms via Aadhaar OTP. You've accepted GeM's GTC at this point — worth knowing what's in it.
  6. Step 6 — Complete the profile. All of it. This is where DIY registrations quietly fail: the account exists, but the profile sits at 60% — and incomplete profiles can't list properly or participate in bids. Complete every section: office locations, bank account, GSTIN linkage, Udyam linkage (the switch that turns on MSE preferences), ITR details where applicable.
  7. Step 7 — Verification and approval. With clean documents, approval typically lands in 1–3 working days. You'll get your GeM Seller ID — and can download your registration certificate from the dashboard.

Business-type specifics

  • Proprietorship — simplest path: proprietor's own PAN and Aadhaar; the proprietor is the authorised person. Most common seller type on GeM.
  • Partnership firm — firm PAN + deed; the authorised partner's Aadhaar does the verification. Ensure the deed supports the signing partner's authority.
  • Private Limited / LLP — company PAN + CIN; details validated against MCA records, so fix any stale MCA data first. Authorised person should be a director/designated partner or someone with board authorisation.
  • Trusts/Societies — registration documents + authorised office-bearer; less common, more document scrutiny.
  • Service providers — same flow, service-specific considerations (SLAs, PSARA/EPFO for manpower categories).

The 6 errors that stall registrations

Seven years of rescuing stuck applications, ranked:

  1. Aadhaar–PAN name mismatch — one record says "Rahul Kumar Singh", the other "Rahul Singh". Fix the records before registering, not after the error.
  2. OTP going nowhere — mobile not linked to Aadhaar. Verify linkage first; update takes days, so do it before you need it.
  3. Wrong business constitution selected — effectively irreversible; triggers re-registration.
  4. Trade name vs legal name confusion — the portal wants legal names as per PAN/MCA.
  5. Profile abandoned at 80% — account approved, seller invisible. Finish every section, especially Udyam and bank validation.
  6. Details inconsistent across documents — address on GST ≠ address entered; bank name ≠ entity name. The portal cross-checks; consistency is the whole game.
